Purpose
This policy explains how CageRace collects, uses, stores and shares personal information provided by swimmers, applicants, participants, sponsors and related representatives for the purpose of promoting the competition, its participants, its commercial partners and its media productions.
Scope
This policy applies to personal information collected through entry forms, audition forms, casting submissions, sponsorship enquiries, athlete profiles, interviews, photography, video production, social media submissions, website forms, and any related digital or paper-based process used by CageRace.
What information may be collected
CageRace may collect a participant’s name, age category, suburb or region, swimming background, achievements, photographs, video footage, interview answers, biography details, social media handles, performance-related information, sponsor affiliations, and promotional preferences where reasonably necessary for producing, promoting and distributing CageRace content and related campaigns.
CageRace will take a data-minimisation approach and will not publish residential addresses, private phone numbers, or full dates of birth in public-facing content unless there is a clear legal reason and express permission to do so.
Why CageRace collects this information
Promoting swimmers and sponsors is a core operational purpose of the competition and its related media business. Personal information may be used to create athlete profiles, sponsor materials, social posts, website features, digital campaigns, press kits, magazines, audition materials, television development materials, program episodes, highlight reels, documentary segments, advertising creative, and partnership presentations.
Consent
CageRace will seek clear, informed and voluntary consent before using personal information for promotional, publicity, broadcast, publishing or sponsor-related purposes that go beyond internal administration.
Where practical, consent should be separated into distinct approvals so that a person can agree to some uses and decline others. For minors, consent will be obtained from a parent or legal guardian, with age-appropriate explanations for the participant.
Public use of information
Approved information may be used to promote athletes, competitions, sponsors and media projects across social media, website profiles, press releases, printed magazines, casting and audition materials, television series episodes, trailers, on-air promotions, and sponsor campaigns. Public use will be limited to information relevant to the promotional purpose and covered by the applicable consent.
Information CageRace will not publicly publish
Unless required by law or expressly authorised in writing for a specific purpose, CageRace will not publicly publish residential street addresses, private phone numbers, full dates of birth, government identification numbers, financial account details, personal email addresses intended only for private contact, or sensitive personal information that is not necessary for promotion or production.
Sensitive and high-risk information
Sensitive information — such as health details or diversity-related information — is only collected where genuinely necessary, with stronger consent language and tighter access controls. Performance information, race results and sporting footage may still be personal information where it can identify an athlete, and is treated accordingly.
Direct marketing and sponsor promotion
Personal information may be used to send promotional communications about athletes, events, sponsors, broadcasts, auditions and related commercial opportunities where permitted by law and consistent with consent. Where a participant is featured in sponsor-aligned content, they will be told that their name, image, biography, achievements or footage may appear alongside sponsor branding or in co-branded media.
Disclosure to third parties
CageRace may disclose personal information to production partners, editors, broadcasters, publishers, publicists, sponsors, platform providers, photographers, videographers, advertising agencies, technology service providers and legal or regulatory advisers where reasonably necessary and supported by consent or law. Third parties handling personal information on CageRace’s behalf are required to protect it and use it only for authorised purposes.
Data quality and accuracy
CageRace will take reasonable steps to ensure promotional information is accurate, current and not misleading before publication, especially where athlete achievements, sponsor relationships or biographical claims are presented publicly. Participants will be given a practical way to request corrections to factual profile information before or after publication where feasible.
Security and storage
CageRace will take reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification or disclosure, including through access controls, secure cloud storage, role-based permissions, password hygiene, and careful management of media assets and form submissions.
Access, correction and withdrawal
Individuals may request access to the personal information CageRace holds about them, ask for corrections, or withdraw future promotional consent to the extent legally and operationally possible. Withdrawal will not normally affect material already lawfully published or already incorporated into completed productions, printed publications or distributed broadcasts.
Retention and removal
CageRace will retain personal information only for as long as reasonably necessary for production, promotion, legal, archival, contractual or business purposes. Retention notices distinguish between unpublished application materials, internal records, and published content already released to audiences or partners.

Recommended consent notice
By submitting this form, the participant agrees that CageRace may collect and use the personal information provided, including name, image, video, voice, biography, swimming background, achievements and related promotional material, for the purposes described in this policy — publicity, social media, publishing, sponsor promotion, casting, development and broadcast. CageRace will not publicly publish residential addresses, private phone numbers or full dates of birth unless legally required or separately authorised. Consent may be withdrawn for future uses by contacting CageRace, but this will not normally apply to material already published, printed, broadcast or contractually committed.
